Alert Audio adds live, two-way voice communication between a worker and their monitoring team the moment a Help Alert is triggered. Instead of waiting for a call back, the app automatically opens an audio line so the worker and monitor can talk immediately.

This feature strengthens emergency response, gives monitors clearer context, and ensures workers aren’t left alone during critical moments.

## What Is Alert Audio?

Alert Audio open a real-time audio call inside the OK Alone iPhone app. When a worker sends a Help Alert, the app automatically initiates a voice connection to the designated monitoring number. There’s no need to unlock the phone, place a call, or switch apps.

**Key behaviours**

  * The call begins automatically once the Help Alert is sent.

  * The call stays inside OK Alone (no switching to the Phone app).

  * Both sides can hear and speak instantly.

  * The call uses loudspeaker at maximum volume by default.

  * If the data network is weak, the monior should call you back to check you are ok.

  * Ending the audio call does **not** cancel the Help Alert.

## Why Use Alert Audio?

  1. **Immediate two-way communication:** Workers can describe their situation straight away, and monitors can assess what’s happening in real time.
  2. **Faster and clearer response:** Voice communication removes guesswork, leading to quicker and more accurate decisions during emergencies.
  3. **Hands-free operation:** Phones automatically use loudspeaker at full volume, helping workers keep their hands free and stay focused on the situation.

## How Alert Audio Works During an Emergency

  1. The worker taps **Help** (or triggers any Help gesture such as Shake for Help).

  2. OK Alone sends the Help Alert to monitors.

  3. Immediately after the alert is sent, the app opens a voice call to the organisation’s designated monitoring number.

  4. The worker and monitor can speak in real time.

  5. The Help Alert remains active until the monitor resolves it in the dashboard.

## Setup Requirements

Alert Audio is currently enabled at the **organisation level**. An update is coming soon allowing configuration at the group level and connecting directly with the SMC (Safety Monitoring Centre).

To enable Alert Audio:

At OK Alone, we know that not every safety concern starts as a full emergency. Often it begins with a moment of discomfort — walking through a dimly lit car park, waiting alone in an unfamiliar area, or being on site before others arrive. For those situations, we built **Companion Mode**.

Companion Mode connects you directly to a trained operator at our **Safety Monitoring Center (SMC)** , giving you reassurance and real-time oversight until you reach safety.

## What Is Companion Mode?

**Companion Mode** is designed for situations where you feel unsafe, but you’re not yet in an active emergency.

Press the **Help** button in the OK Alone app or on your device, and you’ll be connected straight to an SMC operator.

Once connected, the operator will:

  * Stay on the line with you

  * Offer reassurance and guidance

  * Monitor your surroundings and listen for changes

  * Stay with you until you safely reach your destination

If something changes — someone approaches, the risk increases, or you feel threatened — the operator will immediately escalate to a full emergency (Red Alert) and act according to your escalation plan.

## How It Works

  1. **Press the Help button** on your OK Alone app or device.

  2. **You’re connected to the SMC** , a trained operator will call you back on your assigned phone number.

  3. **Give a quick explanation** , such as:  
“I’m walking to my car in a dark car park,” or “I’m waiting alone in an unfamiliar area.”

  4. **Stay on the line** — speakerphone is useful so the operator can hear what’s going on.

  5. **The operator keeps you monitored** , watching for any signs of escalation.

  6. **When you reach safety** , let the operator knoe you are safe and end the call.

## Who Can Use Companion Mode?

All lone workers using OK Alone **without a Standard Monitoring Contract (SMC)** are eligible.

Whether you’re working after hours, in a remote location, or simply feeling exposed, Companion Mode offers a direct, real-time connection to safety.

## Best Practice Tips

  * Use it early — don’t wait for a situation to become an emergency.

  * Clearly describe your environment so the operator understands your context.

  * Use loudspeaker when possible to provide situational awareness.

  * Make sure you worker account has the correct phone number linked to it

  * Follow instructions from the SMC operator if anything escalates.

  * End the session once you’ve reached a secure location.

Privacy Mode is an optional configuration setting that restricts access to worker location information during normal operation. When enabled, OK Alone hides real-time coordinates and historical location data from the Hub unless a safety alert is triggered. This gives organisations a way to protect worker privacy while still ensuring that monitors receive accurate location details during emergencies.

Privacy Mode is ideal for teams that operate in privacy-sensitive environments or jurisdictions with stricter tracking requirements. It strengthens user trust while maintaining compliance with duty-of-care expectations when an alert requires immediate action.

## How Privacy Mode Works

### Enabling Privacy Mode

Privacy Mode can be activated at either the **organisation level** or on a **per-worker basis**. Once enabled:

  * Real-time GPS updates are hidden from the live map

  * Shift location reports will no longer show coordinates

  * Workers still appear as active and on shift

### Hidden Location During Normal Operation

When a worker is on shift with Privacy Mode enabled:

  * Their position is **not shown** on the map

  * No coordinates are displayed in reports

  * A “Privacy Enabled” badge or similar indicator may appear

  * The worker’s active status, timers, and alerts remain visible

This ensures day-to-day work is not tracked visually, while still supporting normal monitoring workflows.

### Location Revealed During Active Alerts

If an alert occurs, the system temporarily reveals the worker’s latest location so monitors can respond effectively. Location becomes visible only during the following:

  * Overdue Check-In

  * Overdue High Risk

  * Overdue Timed Activity

  * Man Down Alert

  * Fall Detection Event

  * Help / Duress Alert

After the alert is resolved, all map visibility is hidden again.

## How to view Useful App Links on the OK Alone App

  * **Disconnected (Red):** The app has **not connected** to Ok Alone for **over 30 minutes**.

## Ways to See App Connectivity

Once activated, App Connectivity can be viewed in these three areas:

  1. **Home Page:** Under the full view, within the worker status section.
  2. **Reports and Logs:** Navigate to worker reports and find the App Connectivity Report, displaying the status of every worker currently on shift.
  3. **Active Alerts:** Any active alert will also show the current App Connectivity status of the worker’s device.

**Can I have multiple Channels for one Alert**

Yes, you can create a separate channel per monitor or have them share one. How you use Channels is up to you. The only restriction is that there is one Channel link per monitor.

The Auto End Shifts feature automatically ends all active worker shifts at a specified time. This helps prevent false alarms caused by workers forgetting to manually end their shifts. If your team consistently finishes work at a known time every day, Auto End Shifts can keep your monitors and workers from being contacted after hours. 

## 

## Why Use Auto End Shifts

  * **Reduce After-Hours Alerts**  
When a worker forgets to end a shift, Ok Alone continues monitoring and may trigger missed check-in alerts. Auto End Shifts ensures all shifts close at the end of the day, eliminating those false alarms. 

  * **Simplify End-of-Day Workflow**  
If you know every worker is off duty by, for example, 5 PM, you don’t need everyone to remember to press “End Shift.” The system does it for you. 

  * **Improve Monitor Efficiency**  
Monitors see only active shifts during working hours. Once Auto End Shifts runs, they don’t need to sort through expired or forgotten shifts.

## Prerequisites

  1. **Admin Access**  
You must be an Account Admin (or have equivalent permissions) to enable and configure Auto End Shifts. 

  2. **Feature Management**  
Auto End Shifts is controlled by a toggle under **Settings → Extra Features**. Ensure this feature is visible and available.

## 1\. Enable Auto End Shifts in Extra Features

  1. Log in to the Ok Alone dashboard at **<https://my.okalone.net>**. 

  2. In the sidebar, click **Settings**. 

  3. Select **Extra Features**. 

  4. Under **Dashboard Features** , locate **Auto End Shifts**. 

  5. Click the checkbox next to **Auto End Shifts** to turn it on. 

  6. Click **Update Your Feature Settings**.

## 2\. Set a Company-Level Auto End Shift Time

Once Auto End Shifts is enabled, choose a company-wide time for all shifts to end each day: 

  1. In the sidebar, click **Settings → Company Settings**. 

  2. On the right side of the screen, find the **Auto End Shift Time** field. 

  3. Select the desired time (for example, **17:00** for 5 PM). 

  4. Click **Update** to save. 

_All active shifts for every worker will automatically close at this time each day._

## 3\. Set a Group-Level Auto End Shift Time

If you need Auto End Shifts to apply only to certain teams, configure it at the group level: 

  1. In the sidebar, click **Groups**. 

  2. Find the group you want to modify and click **Edit**. 

  3. On the group’s settings page, locate **Auto End Shift Time**. 

  4. Choose the time (for example, **18:00** for 6 PM). 

  5. Click **Update the Group**. 

_Only workers assigned to this group will have their shifts ended at the specified time._

## 4\. Alert Workers Before Their Shifts End (Optional)

If your account includes the Communication Plan, you can send an SMS reminder before Auto End Shifts runs so workers know to restart their shift if needed: 

  1. Go to **Settings → Company Settings**. 

  2. Find **Alert Workers That Their Shift Is Ending**. 

  3. Check **Yes** to enable. 

  4. Specify how many minutes before the Auto End Shift Time to send the SMS (for example, **10 minutes**). 

  5. Click **Update**.

  * **Coordinate with Team Schedules**  
Confirm that all workers indeed finish by the chosen time before enabling Auto End Shifts. 

  * **Communicate Changes**  
Let workers know about the Auto End Shift time, especially if they occasionally extend their day. 

  * **Test During Off-Peak Hours**  
First configure Auto End Shifts late in the day or on a weekend to verify behavior without disrupting active monitoring. 

  * **Use Group-Level Settings for Flexibility**  
If some teams work different hours, set group-specific end times instead of a single company time.

## Troubleshooting

  * **Auto End Shifts Feature Missing**

    * Make sure you have the necessary Admin or Feature Management permissions. 

    * If you still do not see the toggle under **Settings → Extra Features** , contact **customer.support@ok-alone.com**. 

  * **Shifts Not Ending at the Scheduled Time**

    * Verify the time zone for your account under **Company Settings**. The auto-end time uses the company’s time zone. 

    * If a group-level time conflicts with the company time, group settings take precedence for that group’s workers. 

  * **Workers Didn’t Receive SMS Reminder**

    * Confirm your account includes the Communication Plan.

    * Check that each worker’s mobile number is entered correctly in their profile (including country code, e.g., +1 604 555 1234).

## How Do Workers Use Their ZOLEO Device?

## Setting Up Your ZOLEO Device with Ok Alone

### 1\. Activate Your ZOLEO Device

Before use, activate your ZOLEO device through the official ZOLEO activation process.

### 2\. Connect the ZOLEO Device to Your Phone

  * Open the **ZOLEO app** on your smartphone.

  * Power on your ZOLEO device and ensure it has network connectivity (Wi-Fi, cellular, or satellite).

  * Tap the **ZOLEO icon** in the bottom menu of the app.

  * Select your ZOLEO IMEI (found on the bottom of your device, starting with 300) from the list.

  * The app will connect and enable **Follow-Me SMS & Email messaging**, so messages sent to your ZOLEO number arrive in your app.

__If connecting over satellite, please allow a few minutes for completion.__

### 3\. Add Ok Alone as a Contact

To ensure full functionality, add the Ok Alone local number (from the table above) as a **Check-in Contact** in your ZOLEO device. You must also have the **Location Share+** feature enabled on your ZOLEO account.

## Starting Your Shift with ZOLEO in Ok Alone

  * Send a message with your **worker PIN** and **start** or **ok** to begin your shift.  
Examples:  
`123456 start` — starts a shift  
`123456 ok` — sends a check-in and can start a shift

  * When you do this, the ZOLEO device switches from the previous worker’s Ok Alone account to yours.

  * Your worker profile will update with the ZOLEO phone number and IMEI assigned to you.

  * You can send further action messages with or without your PIN as needed.

## Ending Your Shift and Disconnecting

  * When your shift ends, send your PIN and **end** via the ZOLEO device.

  * **Important:** Before handing off the device to another worker, open the ZOLEO app **Settings** and select **Disconnect From ZOLEO Device** to unlink your account.

## Submitting Device Details for Setup

If you manage multiple devices, please provide a **CSV or Excel file** listing each device’s:

  * Phone Number

  * IMEI Number (on the back of the device or in the ZOLEO app)

This helps us pre-configure the devices in Ok Alone.

## For Lone Workers: How to Start Using OK Alone

  1. **Receive Your Access PIN**  
Once your organization adds you to OK Alone, you’ll get a unique PIN by email or text.  

  2. **Download the OK Alone App**  
Get the app on your device:

     * Windows PC users can download the desktop app via the Microsoft Store.

Respond to check-in prompts within the app before the timer expires to confirm your safety.

If you need help, tap the **Help** button or use gestures like shaking your phone to send an alert to your monitor(s).  

  6. **End Your Shift**  
When your work is done, tap **End Shift** to stop tracking and alerts.

This guide explains how to link your **ZOLEO satellite communicator** with **OK Alone** , so workers can send check-ins, SOS alerts, and location updates — even outside cell service.

### Before You Begin

Before starting setup, make sure:

  1. Your **ZOLEO device is activated** and registered to a ZOLEO account.

  2. You have your device’s **IMEI number** (found on the back of your ZOLEO or in the app).

### Authorise OK Alone on Your ZOLEO Account

Next, you’ll link your ZOLEO account with OK Alone through ZOLEO’s data-sharing settings.

  1. Go to [myzoleo.com](https://myzoleo.com)[](https://myzoleo.com) and sign in.

  2. On the sidebar, select **My Data Sharing**.

  3. Find your device in the list and click on it.

  4. Choose **OK Alone ZOLEO** from the list of available services.

  5. On the authorization screen, check all three data feeds:

     * **Location Share+**

     * **Check-In**

     * **SOS**

  6. Tick the box agreeing to share your data with OK Alone.

  7. Click **Confirm & Send Email**.

You’ll receive an email confirmation from ZOLEO once the link is active.

### Final Authorization on MyZOLEO

If your ZOLEO still shows **“Please Authorize”** , click **Authorize** and then **Approve** on the pop-up to finalize the connection.

All three feed icons (Location Share+, Check-In, SOS) should turn green once authorized.

## Link Your ZOLEO Device to a Worker in OK Alone

  1. On your OK Alone dashboard, go to **Workers**.

  2. Find the worker who will use the device and click **Edit**.

  3. Select the **ZOLEO Device** tab.

  4. Enter the 15-digit **IMEI number** and **ZOLEO number**.

  5. Click **Update Your ZOLEO IMEI**.

Once saved, the device will be linked to that worker’s profile.

## Test the Connection

To confirm setup is working:

  1. Go outside where the ZOLEO has a clear view of the sky.

  2. Press the **Check-In** button on your ZOLEO.

     * This should automatically start a session in OK Alone.

  3. Check your OK Alone dashboard — the worker’s shift should appear as active and show a location

## Accessing the Report

  1. Sign in to the Ok Alone dashboard.

When you open **Man Down Settings** , you’ll see each worker’s current and previous Man Down configuration presented as follows:

  * **Worker**  
Displays the name of the employee.

  * **Man Down**

    * If enabled, shows a badge with their current inactivity timeout (for example, “3 min”).

  * **Last Change**  
Indicates the previous timeout value and the date it was applied (for example, “5 min ➔ 3 min on 12 June”).

If you need to receive Ok Alone reports regularly without manually exporting them each time, you can set up scheduled report delivery. This feature allows you to automatically send exported spreadsheets to one or multiple monitors on a daily, weekly, monthly, or yearly basis.

## Where to Find Scheduled Reports

  * Log in to your Ok Alone Dashboard.

  * Navigate to the **Reports & Logs** tab from the sidebar menu.

  * Here, you’ll see all reports and scheduled report settings.

## How to Set Up a Scheduled Report

  1. Click the **Add a Scheduled Report** button at the top of the Reports & Logs page.

  2. In the scheduling form, configure:

     * **Report Type:** Choose the type of report (e.g., No Location, Has Started a Shift, etc.).

     * **Frequency:** Select how often the report should be sent:

       * **Daily:** Sends the previous day’s report every day at 6 AM.

       * **Weekly:** Sends the previous week’s report every Monday at 6 AM.

       * **Monthly:** Sends the previous month’s report on the 1st of each month at 6 AM.

       * **Yearly:** Sends the previous year’s report at the start of the year at 6 AM.

     * **Recipients:** Select which monitors will receive the report.

     * **Filters:** Optionally filter which workers are included by Monitor and/or Group, similar to filtering on the Reports page.

  3. Once you’ve chosen all options, click **Add Scheduled Report Now** to save your scheduled report.

The scheduled report will now appear in the list on the Reports & Logs page.

## How to Edit or Delete a Scheduled Report

  1. On the Reports & Logs page, locate the scheduled report you want to change.

  2. Click the **Edit** button next to the report.

  3. An edit window will open where you can modify any setting:

     * Report type

     * Delivery frequency

     * Recipient monitors

     * Filters applied

  4. To delete the report, use the **Delete** option in the edit window.

  5. After making changes, click **Update Report** to save.

## Activating Scheduled Reports Feature

Scheduled Reports is a feature that can be enabled or disabled in the system settings:

  1. From the main menu, go to **Settings** > **Features**.

  2. Find the **Worker Reports** section.

  3. Toggle **Reports and Reports Scheduling** ON.

  4. Click **Save** to apply.

Did the worker start and end shifts as scheduled?

## Assign Webhook to a Monitor

Action Notices are non-urgent notifications sent to designated Monitors when Workers perform certain routine actions. Unlike Alerts, which indicate emergencies, Action Notices provide updates on status changes—such as starting or ending a shift—so Monitors stay informed without being overwhelmed. Use Action Notices sparingly to improve situational awareness and support proactive decision-making.

## Why Use Action Notices?

  * **Enhance Situational Awareness**  
Monitors receive timely updates on Workers’ routine activities (for example, when a Worker starts or ends a shift).

  * **Support Proactive Monitoring**  
By knowing when Workers change status, Monitors can adjust schedules, plan follow-ups, and allocate resources more efficiently.

  * **Avoid Overload**  
Because Action Notices are informational rather than urgent, they help Monitors focus on Alerts (emergencies) without missing important non-critical updates.

## How Action Notices Differ from Alerts

  * **Alerts**

    * Triggered by potential emergencies (Missed Check-Ins, Help Requests, Man Down detections).

    * Require immediate Monitor intervention.

    * Sent via SMS, email, phone call, or other emergency channels.

  * **Action Notices**

    * Triggered when a Worker performs a routine action (Start/End Shift, High Risk check-in, Man Down status change).

    * Do **not** require immediate action.

    * Delivered via email (or SMS if you have the Communication Plan).

> Use Action Notices sparingly. Too many notices can distract Monitors from genuine Alerts.

## Available Action Notices

You can notify Monitors when Workers perform any of the following actions:

  * **Started a Shift**

  * **Ended a Shift**

  * **Set a High Risk Check-In**

  * **Changed Man Down Status**

## 

## How Action Notices Are Sent

  * **Email** (available to all accounts)

  * **SMS** (optional; requires the Communication Plan)

Monitors receive an email or SMS that includes the Worker’s name, the action performed, and the timestamp.

## Setting Up Action Notices

Before Monitors can receive Action Notices, you must enable the feature and choose which notices to send.

### 1\. Enable Action Notices in Feature Management

  1. Log in to the Ok Alone dashboard at `https://my.okalone.net`.

  2. In the sidebar, click **Settings**.

  3. Select **Extra Features**.

  4. Under **Dashboard Features** , check **Action Notices**.

  5. Click **Update Your Feature Settings** to save.

### 2\. Configure Company-Level Action Notice Settings

  1. In the sidebar, click **Settings** → **Company Settings**.

  2. On the right side of the screen, locate the **Use Action Notices** option.

  3. Select **Yes** to enable Action Notices.

  4. Check the box next to each notice you want to send to Monitors:

     * Started a Shift

     * Ended a Shift

     * Set a High Risk

     * Changed Man Down

  5. For each notice, choose the contact method (Email and/or SMS).

  6. Click **Save** (or **Update Company Settings**).

> **Note:** We recommend enabling only the most relevant notices. Too many notifications can overwhelm Monitors and reduce the effectiveness of both Action Notices and Alerts.

## Best Practices

  * **Select Only Essential Notices**  
Limit Action Notices to critical status changes (for example, Start/End Shift) to maintain clarity.

  * **Clarify Expectations with Monitors**  
Explain which notices they will receive and how often. This prevents confusion if they receive an email or SMS for routine updates.

  * **Review Periodically**  
As your team’s workflow evolves, revisit which notices are active. Disable any that no longer add value.

  * **Combine with Alerts**  
Ensure Monitors understand the difference between an Action Notice and an Alert. Action Notices are informational; Alerts demand immediate response.

## Troubleshooting

  * **No “Action Notices” Option in Extra Features**

    * Confirm you’re logged in as an Admin or have the “Feature Management” permission.

    * If the option is still missing, contact customer.support@ok-alone.com

  * **Monitors Are Not Receiving Notices**

    * Verify that **Use Action Notices** is set to **Yes** under **Company Settings**.

    * Confirm that the specific notice types are checked and that each Monitor’s contact information is correct (email and/or phone number).

    * If using SMS, ensure your account has the Communication Plan and that Monitors’ phone numbers are formatted correctly (e.g., +1 XXX XXX XXXX).

  * **Too Many Notifications**

    * Return to **Company Settings** and uncheck any notice you no longer need.

    * Encourage Monitors to set up email filters or folders for Action Notices if they still feel overwhelmed.

At our Safety Monitoring Centre (SMC), every alert is treated with the highest priority. Our trained operators follow a clear, step-by-step action plan to ensure the safety and well-being of lone workers under our protection.

## Types of Alerts Received by the Monitoring Centre

The SMC handles several alert types generated by the Ok Alone system:

  * **Help/Panic Alerts** — Immediate SOS requests from workers

  * **Missed Check-Ins** — When a worker fails to check in at their scheduled time

  * **Missed High-Risk Check-Ins** — For shortened timers during risky tasks

  * **Missed Timed Activities** — When a task timer expires without confirmation

  * **Man Down Alerts** — Triggered by inactivity or detected falls

## What Information Is Included with Each Alert?

When an alert is sent to the Monitoring Centre, operators receive:

  * Worker’s name

  * Worker’s phone number and email

  * Worker’s last known location (if available within the last 15 minutes)

  * Type of alert triggered (e.g., panic, missed check-in, man down)

  * Up to two emergency contacts or assigned monitors

This information helps the operators build a customized response plan for each situation.

## How Our Action Plans Work

Each alert triggers a predefined action plan followed by SMC operators to manage the emergency efficiently. Below is a simplified overview of the escalation procedure:

### SMC Escalation Procedure:

  1. **Alert Received:** The monitoring centre receives the alert immediately.

  2. **Initial Contact Attempts:** Operators call the worker’s primary and secondary phone numbers.

  3. **No Response:**

     * For missed check-ins, the system waits 5 to 10 minutes before retrying calls.

     * For Help/Panic alerts, there is no wait; escalation begins immediately.

  4. **Escalation to Emergency Contacts:** If the worker does not respond, the operator calls the emergency contacts or assigned monitors in sequence.

  5. **Decision Point:**

     * Contacts may dispatch emergency services if needed.

     * Alternatively, they may follow up directly with the worker to confirm safety.

  6. **Final Resolution:** The alert is cleared when:

     * The worker responds, or

     * Emergency services are dispatched, or

     * A contact confirms the situation is safe.

> **Important:** The SMC cannot dispatch emergency services without confirmation from the worker or an emergency contact.

## How Scores Are Calculated

At month’s end, OK Alone evaluates each worker across four key factors. Each factor receives its score, then they’re combined into a total out of 100. When multiple workers tie, priority is given to those who logged more shifts or hours.

  * **Location Accuracy**  
Are location updates being sent every 1–2 minutes?

  * **Correct Usage**

## What is what3words?

What3words divides the world into 3 × 3 m squares and assigns each square a unique three-word address—for example, **///limit.broom.flip.** This makes it fast and foolproof to share precise locations, even where no street address exists.

## How Ok Alone Uses what3words

Ok Alone captures each worker’s last known GPS coordinates on your dashboard. By enabling what3words, you’ll also see the corresponding three-word address:

  * **Dashboard map view:** Click **Get Location** next to any worker’s marker to reveal the three-word address.

## Viewing what3words Locations in the Dashboard

  1. Log in to the Ok Alone dashboard.

  2. On the **Home** page, locate the **Last Known Location** column for your workers.

  3. Click **Get Location** under the map thumbnail.

  4. Read the three-word address displayed beneath the map.

  5. Share that address verbally or via message to guide responders to the exact spot.

## Receiving what3words in Alerts

  * A map link

## Activating what3words for Your Account

The what3words integration is available at no extra cost on all Ok Alone plans.

To enable it:

## 1\. Overview

An **Alert Loop** is an automated escalation chain that cycles through a predefined list of monitors when a lone-worker alert occurs. Supported alert triggers include:

  * Help requests

  * Missed check-ins

  * Man Down or Worker Down alerts

  * High-Risk check-ins

When an alert is triggered, each monitor in the loop is contacted in sequence until one accepts responsibility and resolves the alert.

## 

## 2\. How Alert Loops Work

  * **Trigger:** A worker misses a check-in or sends an immediate help signal.

  * **First Contact:** The system notifies the first monitor via their configured methods (SMS, call, email, Teams/WhatsApp).

  * **Accepting Responsibility:** Any monitor can click **Accept the Alert** in the message or the dashboard link to take ownership.

  * **Escalation:** If the first monitor does not respond within the **Step Wait Time** , the loop contacts the next monitor.

  * **Looping:** After reaching the end of the list, the system waits for the **Loop Wait Time,** then repeats the cycle up to the **Loop Repeat Count**.

## 3\. Creating an Alert Loop

  1. In the dashboard sidebar, click **Management** > **Alert Loop**.

  2. Click **Create an Alert Loop**.

  3. Enter a name in **Alert Loop Name** , then click **Create Alert Loop Now**.

**Configure your first step:**  
4\. Click the pencil icon next to the default monitor, choose your **First Monitor** , and select the **Step Wait Time**.  
5\. Click **Edit Step** to save.

**Set loop parameters:**  
6\. Click **Edit Loop**.  
7\. Choose the **Loop Wait Time** (delay between full cycles) and **Loop Repeat Count** (number of cycles).  
8\. Click **Update Alert Loop**.

**Add additional steps:**  
9\. Click **Add a Step** , select the next monitor and **Step Wait Time** , then click **Add the Step**.  
10\. Repeat until your sequence is complete.

  1. A missed check-in triggers the worker’s assigned Alert Loop.

  5. Once a monitor accepts, they log in to the dashboard, click **Accept the Alert** , and follow the escalation procedure to ensure the worker’s safety.

Sometimes Monitors receive Help Requests or Missed Check-In alerts when they’re away from their computer. With Dashboard Links in SMS Alerts, you can tap the link in your message and go directly to the Ok Alone dashboard on your phone—no extra steps required. This article explains how it works and what you need to know.

## Why Use Dashboard Links in SMS Alerts

  * **Immediate Access**  
When you get an SMS about a Help Request or a Missed Check-In, you can open your dashboard right away and see the Worker’s profile and escalation details.

  * **Stay Informed on the Go**  
You don’t have to be at your computer to take action. The link brings you straight to the relevant Worker’s information.

  * **Faster Response**  
By reducing extra taps and navigation, you can assess and respond more quickly when a Worker needs assistance.

## 

## How It Works

  1. **Worker Misses a Check-In or Sends a Help Request**  
Ok Alone detects the missed check-in or Help alert.

  2. **System Sends an SMS to the Assigned Monitor(s)**  
The SMS includes:

     * The Worker’s name (or PIN)

     * The time the event occurred (e.g., “John Doe missed a check-in at 14:05”)

     * A clickable link to your Ok Alone dashboard

  3. **Monitor Taps the Link**

     * The link opens your default mobile browser.

     * You land directly on the Ok Alone dashboard, already logged in (if you have an active session) or prompted to log in.

     * Once on the dashboard, you can view the Worker’s location, shift details, and escalation procedure.

## Example SMS Format

  * **“John Doe missed a check-in at 14:05,”** notifies you which Worker and when.

  * **“View details: https://…”** is the dashboard link. Tapping it opens the Worker’s profile on your phone.

## Requirements

  * **Mobile Phone** capable of receiving SMS.

  * **Active Ok Alone Account**

    * The Monitor must be assigned to receive SMS alerts for Help Requests or Missed Check-Ins.

  * **Dashboard Session** (optional)

    * If you’re already logged in on your phone’s browser, tapping the link brings you straight to the Worker’s details.

    * If you’re not logged in, you’ll be prompted for credentials before seeing the dashboard.

  1. **Enable SMS Alerts in Company Settings**

     * In the Ok Alone dashboard, go to **Settings → Company Settings**.

     * Under **Alert Delivery** , ensure that **SMS** is checked for Help Requests and Missed Check-Ins.

     * Click **Update** to save.

     * Confirm that the assigned Monitor receives an SMS containing the Worker’s name/time and a dashboard link.

     * Tap the link to verify it opens the dashboard on your phone.

## Best Practices

  * **Keep the App or Browser Logged In**  
If possible, remain logged in to Ok Alone on your phone’s browser so tapping the link takes you directly to the Worker’s details.

  * **Check Mobile Browser Settings**  
Ensure pop-ups and cookies are allowed for your Ok Alone domain. Some browsers block redirects without these permissions.

  * **Use Group Escalations Wisely**  
If multiple Monitors are in an escalation loop, only the first Monitor will receive the SMS with the link—ensure that person knows to escalate quickly.

  * **Monitor SMS Costs**  
If your team is international, be aware of SMS charges. Consider using email alerts in regions where SMS fees are high.

## 1\. What Is an Escalation Procedure?

An **Escalation Procedure** is a clear, step-by-step set of instructions that a monitor or call-center operator follows when a lone worker:

  * Sends a Help alert

  * Misses a check-in

  * Triggers a Man/Worker Down or High-Risk check-in

> **Note:** This is _not_ an automated workflow. For automated follow-up, use **Worker Reminders** or **Alert Loops** (part of our Comms Plan).

  1. **Step 1 – Call John**  
An independent call-center operator calls John three times, leaving a voicemail each time:

## 4\. Company, Group, or Worker Procedures

You can define Escalation Procedures at three levels:

  * **Company-Wide** – Applies to all workers by default

  * **Group** – Overrides Company for workers in that group

  * **Worker** – Overrides both Company and Group for an individual

     * Add voicemail script, call count, and wait time.

  3. **Visit the Last Known Location**

     * Click **Send to Location**.

     * Enter the responder’s name, number, and any gear or access notes.

     * (Optional) Check **Visit the last known location** to auto-populate coordinates.

     * Click **Custom Step** , enter your instructions (e.g., contact HR).

  * **Don’t instruct operators to call emergency services directly.**  
Your internal contacts (supervisors, managers) have site-specific knowledge.

“Hello Katie, Worker X has missed a check-in. Please investigate immediately or call emergency services—provide them with site details.”

  * **Test regularly** by simulating a missed check-in to verify each step triggers correctly.

Workers without smartphone access can update their Ok Alone status via SMS or satellite phone. With the Comms Plan, you can enable an automated reply—so whenever a Worker sends an SMS to check in, start or end a shift, request help, or set a high-risk check-in, Ok Alone sends back their current shift status immediately. This article explains what Status Confirmation is and how to turn it on for your account.

## What Is a Status Confirmation?

A **Status Confirmation** is an automated SMS that Ok Alone sends back to a Worker after processing their SMS-based status update. For example, if a Worker replies “123456 ok” to check in via text, Ok Alone will:

  * Update the Worker’s shift status (start or check-in).

  * Immediately send an SMS back to the Worker showing their current shift status (e.g., “You are checked in. Next check-in due at 14:00”).

Status Confirmations help Workers know that Ok Alone successfully recorded their update—especially useful when working outside of Wi-Fi or data coverage.

## Why Use Automated SMS Status Confirmations?

  * **Immediate Feedback**  
Workers receive real-time confirmation that their SMS reached Ok Alone and that their shift status is up to date.

  * **Reliability in Low-Connectivity Areas**  
Even if the Ok Alone app cannot communicate, SMS provides a fallback method to keep monitoring accurate.

  * **Greater Worker Confidence**  
Knowing their status update was successful reassures Workers and reduces follow-up calls or confusion.

  1. **Comms Plan**  
Your account must include the Communication Plan to send SMS confirmations. If you do not have the Comms Plan, contact Ok Alone Support.

Ensure each Worker’s mobile number is entered correctly (including country code) in their profile so Ok Alone can reply via SMS.

## Prerequisites

  1. **Admin Access**  
You must be an Account Admin or have the “Feature Management” permission to turn on Monitor Access Levels.

  2. **Feature Management**  
Ensure that **Monitor Access Levels** is enabled under **Settings → Extra Features → Dashboard Features**.

When you assign Extended Privacy to a Monitor, that Monitor will:

  * Only see Workers explicitly assigned to them.

  * Only view shifts, locations, action logs, alerts, SMS, calls, and timesheets for assigned Workers.

  * Be unable to view global Worker statistics or Safety Awards.

  * Have no access to the Groups page or group management.

Monitors without Extended Privacy retain full dashboard access (depending on their Admin Access level).

## Step-by-Step Guide

### 1\. Verify “Monitor Access Levels” Is Enabled

  1. Log in to the Ok Alone dashboard at <https://my.okalone.net> as an Admin.

  2. In the sidebar, click **Settings**.

## What Is a Monitor?

A **Monitor** is the designated responder for a lone worker. Whenever a worker:

  * Misses a scheduled check-in

  * Sends a Help or Man Down alert  
the system notifies their assigned Monitor(s) so they can initiate the escalation procedure and confirm the worker’s safety.

## 

## Assigning Monitors

  * Each Worker can have **one or more Monitors**.

  * Monitors are organized as **steps** in that worker’s escalation procedure.

  * When a worker triggers an alert, the first Monitor in the sequence is contacted; if they don’t respond, the next Monitor is notified, and so on.

  2. A map appears with a slider control for radius.

  3. To set the zone center:

     * Click directly on the map at the location you want as the center.

     * Alternatively, enter exact **Latitude** and **Longitude** in the input fields if you have precise coordinates.

  4. Use the slider to adjust the zone’s radius (in metres). As you move the slider, the circular overlay on the map updates to show the Safety Zone boundaries.

  5. Click **Save Safety Zone**. The Worker now has a designated Safety Zone.

> **Tip:** If you need to fine-tune the location, click a different point on the map, reset the radius, and click **Save Safety Zone** again.

  * **Reset Location or Radius** :

    1. In the Safety Zone tab, click on the map to move the zone center.

    2. Adjust the radius slider as needed.

    3. Click **Save Safety Zone** to apply changes.

  * **Cancel (Remove) Safety Zone** :

    1. In the Safety Zone tab, click **Cancel Safety Zone**.

    2. Confirm removal if prompted. This deletes the Safety Zone for that Worker.

> **Important:** A Worker **must start** their shift **within** the assigned Safety Zone. If they begin outside the zone, an immediate alert will be triggered.

Safety Zones must be enabled under **Settings → Extra Features** before you can configure them. If you do not see Safety Zones in your Extra Features list:

In Ok Alone terminology, a **Worker** is any employee or contractor who carries out tasks alone, whether in the field, on a remote site, or outside normal office hours, and who uses the Ok Alone system to stay connected and safe.

**Core Responsibilities of a Worker**

  * **Start Shift**

    * You begin your monitored session by tapping **Start Shift** in the app (or by calling/SMS if you don’t have app access). Your assigned Monitor(s) are now aware you’re on duty and can see your location.   

  * **Check In Due**

    * At regular intervals you’ve set (e.g., every 30 minutes), you’re prompted to **Check In**. Simply tap the **Check In** button—or reply via SMS/phone—to confirm you’re safe. Worker FAQs  

  * **End Shift**

    * When your work is done, tap **End Shift** (or call/SMS). This immediately stops all location tracking and alerts.   

  * **Check In Overdue / Missed**

    * If you don’t check in before the timer expires, the app will alarm and send you a text or call reminder during the grace period.

    * If you still don’t respond, your Monitor(s) receive a **Missed Check-In** alert and will attempt to reach you.   

  * **Emergency Help**

  1. Once all rows are green, click **Import these Monitors**.

As a Monitor, you may receive alerts via email, SMS/text, phone call or WhatsApp. Follow these steps to acknowledge and resolve each alert and ensure your worker’s safety.

## 1\. Email Alerts

  1. **Acknowledge Receipt**  
Open the alert email and click **Please click here to acknowledge receipt of Alert**. This logs your confirmation in the dashboard.

  2. **Follow the Escalation Procedure**  
Review the instructions embedded in the email and carry out each step.

  3. **Mark as Resolved**

     * If the worker cannot check in or end their shift via the app, log into the dashboard and click **Check-In** or **End Shift** manually.

     * Alternatively, click **Please click here to acknowledge the Alert is resolved** in the email. This notifies other Monitors and logs the resolution.

## 2\. SMS/Text Alerts

  1. **Open the SMS**  
You’ll receive an SMS identifying the worker and alert time.

  2. **Access the Dashboard**  
Tap the attached link twice to open your browser and land on the dashboard.

  3. **Identify the Worker**  
On the homepage, find the worker highlighted in pink (others remain green). Click their PIN or **Edit** button to open their profile.

  4. **Follow the Escalation Procedure**  
Select the **Escalation Procedure** tab and complete each listed step.

  5. **Return Home**

If you’ve confirmed the worker’s safety but they can’t update the app, click **Check-In** or **End Shift** in the dashboard. This logs the resolution and notifies other Monitors.

  1. **Receive the Call**  
You’ll get an automated call stating who sent the help alert and when.

## 2\. Download the Workers Template

  1. Log in to the Ok Alone dashboard.

  2. Click **Workers** in the sidebar.

  2. After the import completes, click **Send App Links to Workers** to distribute installation instructions and login details.

  1. After confirming that only the intended workers remain marked **Delete** , click the green **Delete Selected Workers** button at the bottom of the page.

  2. A confirmation prompt will appear—review the count of workers to be deleted, then confirm to proceed.

  3. Ok Alone will permanently remove those worker profiles from your account.

Within Ok Alone, Worker Groups help you organize workers, apply consistent settings, and streamline monitoring. Follow the instructions below to create new groups, configure group settings, and add workers.

## Accessing the Groups Page

  1. Log in to the Ok Alone dashboard at [**https://my.okalone.net**](https://my.okalone.net) with an Admin or Monitor account.

  2. In the left-hand menu, click the **Groups** icon.

## Creating a New Group

  1. On the Groups page, click **Create a Group**.

  2. In the **Group Name** box on the right, type the name you want for the new group.

  3. Click **Create Group Now**.

  4. The new group appears at the bottom of the table. To configure its settings, click **Edit** next to the group name.

## Updating Group Settings

Once you open the group’s settings page, you can define how the group behaves and which monitors handle its workers.

  1. **Set Check-In Frequency**

     * Click the **Check in Frequency** dropdown.

     * Select the time interval that applies to all workers in this group (e.g., Every 15 minutes, Every hour).

  2. **Assign Monitors**

     * Click the **Monitor** dropdown.

     * Select one or more Monitors who will receive alerts for this group’s workers.

     * To set an **Alert Loop** , click the **Alert Loop** dropdown and choose the sequence of notifications (e.g., Email → SMS → Phone Call).

     * If needed, set the group’s **Timezone** so that reminders and alerts follow the correct local time.  

  3. **Choose a Group Colour**

     * Assign a distinct colour to the group.

     * This colour appears on the Locations Map, making it easy to identify workers visually.

  4. **Configure Call, SMS, and Email Reminders** (if you have the Comms Plan)

     * Click the **Call, SMS, and Email Reminders** tab.

     * For **SMS** and **Call Reminders** :

       * Set the **Count** (how many times to retry) and the **Delay** (how long to wait between reminders).

     * For **Email Reminders** :

       * Specify a single email notification delay after a missed check-in.  

  5. **Apply Settings to All Workers**

     * If you want these settings to automatically apply to every worker you’ll add to the group, check **Update all Workers with these Settings**.

     * Click **Update the Group**.

     * A pop-up appears asking whether to apply these settings to existing workers in the group. Choose the option that applies.

## Adding Workers to the Group

  1. On the same group page, find the **Add Workers** input on the right.

  2. Select each Worker you want to include in this group.

  3. Click **Add the Workers**.

  4. Below, a table lists all workers in the group along with their current Monitor assignments, Check-In settings, and reminder configurations.

## Synchronizing Worker Settings

Whenever you add or update workers, ensure their settings match the group’s defaults.

  1. Workers whose individual settings differ from the group’s settings appear in red within the table.

  2. To adjust a single worker, click **Sync** on that worker’s row; this applies the group’s settings to them.

  3. To apply the group’s settings to all workers at once, click **Synchronize All Workers**.

  4. Workers’ Monitor assignments, check-in frequencies, and reminder settings now match the group’s configuration.

> **Note:** If you did not check “Update all Workers with these Settings” when editing the group, any mismatched worker settings remain until you click

• **Sync** for individual workers  
• **Synchronize All Workers** to update everyone

Creating and managing Worker Groups requires that the **Groups** feature be enabled:

  1. Go to **Settings → Extra Features**.

Start and End Shift Reminders help workers remember to begin and finish their shifts on time. By sending automated SMS, email, or phone call notifications, you reduce the risk of missed check-ins and ensure workers are monitored during the correct hours. This article explains how to view, create, copy, and configure Start/End Shift Reminders in Ok Alone.

## What Are Start and End Shift Reminders

  * **Start Shift Reminder** : Sends a notification (SMS, email, or phone call) to a worker—optionally also to their Monitor—if they have not started their shift by a specified time.

  * **End Shift Reminder** : Sends a notification when a worker has not ended their shift by a specified time.

Reminders trigger 5–30 minutes after a scheduled shift start or end time. You choose the delay, and notifications go out via the channel(s) you select.

## 

## How to View Start/End Shift Reminders

  1. Log in to the Ok Alone dashboard at **<https://my.okalone.net>**.

  2. In the sidebar, click **Workers**.

  3. Find the Worker whose reminders you want to configure and click **Edit**.

  4. Select the **Start and End Shift Reminders** tab.

  5. A calendar for the current month displays all existing Start/End shifts for that worker.

## How to Add a Start or End Shift

  1. In the **Start and End Shift Reminders** calendar, click the day you want to schedule.

  2. A pop-up window appears with fields for:

     * **Start Shift Time** : Enter the clock time the worker should begin their shift.

     * **End Shift Time** : Enter the clock time they should end.

  3. If you do not need either a start or end reminder on that date, leave the corresponding field blank.

  4. Click **Save** (or **Update**) to apply.

To modify an existing shift:

  * Click the date, adjust the time, then click **Update**.

  * To remove a shift entirely, click the date and select **Remove** from the time dropdown.

## How to Set Up Multiple Worker Shifts

If a worker follows a repeating schedule—such as Monday, Wednesday, and Friday from 8:00 AM to 6:00 PM—use the **Add Multiple Start/End Times** feature to save time.

  1. In the **Start and End Shift Reminders** tab, click **Add Multiple Start/End Times**.

  2. In the pop-up:

     * **Select Date Range** : Click the first date (e.g., September 1), then click the last date (e.g., September 30). Use the month arrows at the top of the calendar to navigate if needed.

     * **Set Shift Time** : Choose the shift hour in the “Shift Time” dropdown.

## Copying Shifts to Workers or Groups

After configuring one worker’s shifts, you can copy them to other workers or entire groups to ensure consistent scheduling.

  1. Open the **Start and End Shift Reminders** tab for the worker whose shifts you want to copy.

  2. Click **Copy Start/End Shifts to Worker/Groups**.

     * **Select Workers** : Tick the checkboxes next to individual workers.

     * **Or Select Groups** : Tick the checkbox next to one or more groups.

  4. Choose **Copy the Shifts to These Workers/Groups** , then click **Copy**.

All selected workers or group members receive identical Start and End shift schedules.

## Start/End Shift Reminder Settings

These settings apply globally to every worker. To adjust them, click **Change Start/End Shift Settings** in the **Start and End Shift Reminders** tab.

  1. **Delay for Missed Start/End Shift Alert**

     * Choose how many minutes after a scheduled shift start or end time the system waits before sending the worker (and optionally the Monitor) a reminder.

     * **Recommendation** : 5 minutes.

  2. **Send Start/End Shift Alert to Monitor**

     * Check this box if you want the assigned Monitor to receive an alert whenever a worker misses a Start or End shift.

  3. **Send Worker Reminder Using**

     * Select the notification channel for the worker (SMS, email, or phone call).

     * **Recommendation** : SMS for fastest delivery.

  4. Click **Save** or **Update** to apply these default settings.

Start and End Shift Reminders are part of the **Communication Plan**. If you do not see these options:

  1. Go to **Settings → Extra Features**.

  2. Under **Communication Plan** , ensure **Start/End Shift Reminders** (or a similar label) is checked.

Ok Alone allows you to bulk upload or export Shift Start and End Times using a spreadsheet (CSV or Excel). This feature is located under **Reports & Logs** and makes it easy to manage many workers’ schedules at once. Follow the steps below to upload and export shifts.

## Accessing Shift Upload/Export

  1. Log in to the Ok Alone dashboard at **<https://my.okalone.net>**. 

  2. In the left-hand menu, click **Reports & Logs**. 

  3. Select **Shift Upload/Export**.

## Preparing Your Spreadsheet

Ok Alone provides two example templates—one that uses Worker Email as the identifier and one that uses Worker PIN. Download the template that matches your preferred identifier, then populate it as follows: 

  * **Worker Email or PIN** : Identify each worker by their email address or PIN. 

  * **Worker Name** : For reference only; Ok Alone uses the identifier to match workers. 

  * **Shift Date** : The date of the scheduled shift (YYYY-MM-DD). 

  * **Shift Start Time** : The scheduled start time (HH:MM). This field is optional—leave blank if not needed. 

  * **Shift End Time** : The scheduled end time (HH:MM). This field is optional—leave blank if not needed. 

> **Note** : If your workers are in different time zones, each time in the spreadsheet applies to that worker’s local time zone.

## Uploading Shift Start/End Times

  1. On the **Shift Upload/Export** page, click the link for the template you want (Email ID example or PIN example) and save the file to your computer. 

  2. Open the template in Excel or another spreadsheet editor. Fill in all required columns for each worker and shift date, up to one year in the future. 

  3. Return to the Ok Alone dashboard. Under **Shift Upload/Export** , choose: 

     * **Identifier Type** : Select **Email** or **PIN** , matching your spreadsheet. 

     * **First Row Contains Headers** : Check this box if your spreadsheet’s first row is column headers (recommended).

  4. Click **Continue to Upload**. A pop-up appears with a drag-and-drop area.  

  5. Drag your completed spreadsheet into the box, or click **Choose File** to locate it on your computer. 

  6. Verify that your file appears in the upload queue (to the right of the pop-up). 

  7. Click **Upload**. Ok Alone processes the file and displays a preview of the Shift Start/End Times being imported.

  8. Review the listed entries for accuracy. If everything looks correct, confirm the import. 

> If any rows contain invalid data—such as an unrecognized email/PIN or an invalid time—the upload preview highlights the error. Fix these in your spreadsheet and re-upload.

## Exporting Shift Start/End Times

  1. On the **Shift Upload/Export** page, scroll to the **Export Shifts** section. 

  2. Define the parameters for your export:

     * **Date Range** : Choose the start and end dates for the shifts you want to export. 

     * **Filter by Group** (optional): Select one or more worker groups to narrow the export. 

     * **Filter by Worker** (optional): Select individual workers if you only need their schedules. 

     * **Identifier Type** : Choose whether the exported file uses Worker Email or PIN. 

  3. Click **Export**. Ok Alone generates an Excel (.xlsx) file containing all Shift Start and End Times that match your filters.

  4. Save the file for your records or edit it and re-upload later if you need to update schedules in bulk.

>   * If you choose **Email** as your identifier and a worker does not have an email on file, that worker is excluded from the exported spreadsheet.

The Monitor Alert Delay—often called the Grace Period—defines how long Ok Alone waits after a worker misses a check-in before notifying their Monitor. By adjusting this delay, you can reduce false alarms and give workers a short window to check in before an alert is sent. Follow the steps below to view and change the Monitor Alert Delay settings.

## What Is the Monitor Alert Delay (Grace Period)

  * **Monitor Alert Delay (Grace Period)** : The amount of time between a missed worker check-in and when the Monitor receives an alert.

  * If a worker fails to check in at the scheduled time, Ok Alone waits for the Grace Period before escalating to the assigned Monitor.

  * A properly configured Grace Period prevents immediate alerts for minor delays (e.g., if a worker’s phone rings or they’re temporarily offline).

## 

## How to Set the Monitor Alert Delay

  1. **Log in** to the Ok Alone dashboard at [**https://my.okalone.net**](https://my.okalone.net) using an Admin account.

  2. In the left-hand toolbar, click **Settings**.

Once saved, the new Grace Period applies to all workers in your account. If a worker misses a check-in, their Monitor will be notified only after this delay has elapsed.

## Flexible Alert Delays

Ok Alone also offers **Flexible Alert Delays** for specific check-in types, allowing you to customize response times for high-risk scenarios:

  * **Worker Down Check-Ins** : If Man Down detection is enabled and a worker appears immobile, you can set a shorter Grace Period so that Monitors receive alerts more quickly.

  * **High-Risk Check-Ins** : When a worker switches to a high-risk status (for example, entering a hazardous area), you can define a shorter delay for missed check-ins during that period.

To configure Flexible Alert Delays:

  1. Go to **Settings → Flexible Alert Delays** (if available in your plan).

  2. Choose separate delays for Worker Down and High-Risk incidents—typically shorter than the standard Grace Period.

  3. Click **Save** to apply both standard and flexible delays.

Multi-factor authentication (MFA) is a security process that requires users to present two or more independent “factors” to verify their identity before granting access. By combining multiple proofs, MFA makes it far harder for an attacker to compromise an account, even if one factor (like a password) is stolen.

**The three classic factor types are:**

  1. **Something you know**  
– Passwords, PINs, or answers to security questions

  2. **Something you have**  
– A hardware token (e.g. YubiKey), a smartphone with an authenticator app, SMS or email one-time codes

  3. **Something you are**  
– Biometric data such as fingerprint, facial recognition, or iris scan

Some systems also use:

  * **Somewhere you are** (e.g. geolocation or IP address)

  * **Something you do** (behavioral biometrics, like typing rhythm)

### How MFA Works in Practice

  1. **You enter your username & password.**

  2. **The system prompts for a second factor.**

     * It might send a one-time code via SMS, ask you to confirm a push notification in an authenticator app, or require a fingerprint scan.

  3. **You provide that second factor.**

  4. **Access is granted.**

If an attacker has only your password, they still can’t log in without the additional factor.

### Common MFA Methods

  * **Time-based One-Time Passwords (TOTP):** Apps like Google Authenticator or Authy generate a new six-digit code every 30 seconds.

  * **Push notifications:** A service (e.g. Duo, Microsoft Authenticator) sends a “Approve/Deny” alert to your registered device.

When you set up an Ok Alone account, a set of core features is enabled by default. As your team’s needs evolve, you can turn additional features on or off to streamline the dashboard and app experience. This article explains how to access Feature Management, what each feature category does, and how to enable or disable features safely.

## 

## Accessing Extra Features

  1. Log in to the Ok Alone dashboard as an Admin or a user with permission to modify settings.

  2. In the sidebar, click **Settings**.

  3. Under **Settings** , select **Extra Features**.

Once you open **Extra Features** , you’ll see four main sections:

  * **Dashboard Features**

  * **App Features**

  * **Communication Plan**

  * **Integrations**

Each section groups related capabilities so you can quickly understand how toggling them will affect your account.

## Feature Categories

### 1\. Dashboard Features

These controls affect what Monitors see and use on the web dashboard. Common options include:

  * **Groups** : Organize workers into groups for targeted alert routing.

  * **Worker Reports** : Enable detailed reporting on check-ins, shifts, and alerts.

  * **Safety Awards** : Turn on gamified recognition (points, certificates) for workers who consistently check in.

If a Dashboard feature is already in use—for example, if you have existing Groups—the corresponding section will be grayed out. You must delete or disable any associated data (such as removing all Groups) before you can toggle that feature off.

### 2\. App Features

These settings determine which capabilities appear in the Ok Alone mobile and desktop apps. Examples include:

  * **Check-In Timers** : Let workers choose or remove preset check-in intervals.

  * **High-Risk Check-Ins** : Allow workers to switch to a shorter timer when in hazardous situations.

  * **Man Down Detection** : Enable or disable fall-detection.

Disabling an App feature removes it from every worker’s app interface. If workers are actively using a particular app feature, the toggle will be grayed out until you remove all dependencies (for instance, delete any active high-risk timers).

### 3\. Communication Plan

The **Comms Plan** section governs advanced notification workflows, such as:

  * **Start/End Shift Reminders** : Automatically remind workers to start or end their shifts.

  * **Out-of-Hours Monitoring** : Assign different escalation rules for after-hours alerts.

  * **Alert Loops** : Set up sequential notifications (email, SMS, phone call, WhatsApp) so that if one monitor doesn’t respond, the system moves on to the next.

Because these features tie directly into your account’s escalation procedures, any enabled Comms Plan option will be grayed out if monitors or workers are actively relying on it. To disable, first remove or reconfigure the associated reminder/escalation in the Communication Plan settings.

### 4\. Integrations

Integrations let you connect Ok Alone to third-party services, increasing functionality and response accuracy. Common integrations include:

  * **what3words** (recommended for pinpointing worker locations)

  * **Microsoft Teams** (send alerts directly into Teams channels)

  * **Zapier** (automate workflows between Ok Alone and other business apps)

If an integration is already linked—for example, if you have an active what3words account connected—the toggle will be grayed out until you disconnect that integration from your account.

## Enabling or Disabling Features

  1. In each section, click the checkbox beside a feature to turn it on or off.

     * **Checked** = Feature enabled.

     * **Unchecked** = Feature disabled.

  2. If a feature’s row is **grayed out** , that means the feature is currently in use.  
\- To disable, first remove all active configurations (e.g., delete all Groups before disabling Groups).  
\- Once no active dependencies remain, the checkbox will become clickable.

  3. Repeat for every feature you wish to change.

> **Tip:** If you’re unsure whether a feature is in use, double-check your Dashboard or Communication settings. For example, if “Worker Reports” is grayed out, open the Reports menu and see if any scheduled or historical reports rely on this feature.

## Saving Your Changes

After adjusting the checkboxes:

  1. Scroll to the bottom of the **Extra Features** page.

  2. Click the blue **Update Your Feature Settings** button.

Only when you click **Update Your Feature Settings** will the system apply your changes. If you navigate away without saving, your toggles will reset to their previous state.

  * **Plan Before You Toggle**  
Review which teams or workers rely on each feature. Disabling a feature without migrating or removing its dependencies can interrupt workflows.

Let Monitors and Admins know when you disable a Dashboard or Communication feature, as it may change their notification patterns.

  * **Test in a Staging Environment**  
If possible, experiment with new features in a test account before enabling them in production.

  * **Use Integrations Wisely**  
Enable only the integrations your team will actively use (e.g., what3words for faster dispatch). Unused integrations can clutter the interface.
